What is Microsurvey Metadata?
Microsurvey Metadata allows you to track data about your Microsurvey respondents or any other relevant details related to their experience without directly asking them. Unlike regular Microsurvey questions, Metadata Properties stay discreetly behind the scenes, capturing additional data without requiring valuable user interaction time.
Microsurvey Metadata allows you to pass data you put in your Microsurvey link into your Microsurvey results, empowering you to segment and analyze responses based on custom criteria, unlocking valuable insights.
Setting up Microsurvey Metadata
Create Microsurvey Metadata when designing your Microsurvey, then add them to your shareable Microsurvey link before you send it out. Once you have responses, you can see your Microsurvey Metadata when you export.
Creating Microsurvey Metadata
To add Microsurvey Metadata:
- Click the Microsurveys tab in the Ask Tool.
- Open an existing Microsurvey or create a new one from the Microsurvey table.
- Scroll down to the Microsurvey Metadata section on the Microsurvey tab.
- By default, five pre-set Microsurvey Metadata are included in all Microsurveys. You can either leave them as they are or remove any by selecting the 'x' in the respective chip.
- Select the Microsurvey Metadata input field.
- Enter a descriptive name (e.g., "region" or "sales-rep") and press enter.
- Your new Microsurvey Metadata will appear as a chip alongside the others.
- Once you've saved your Microsurvey, your custom Metadata Properties will appear at the end of your sharable Microsurvey link.
Using Microsurvey Metadata
There are two ways to utilize Microsurvey Metadata: by using the Microsurvey shareable link or sending out emails through the Composer tool.
Sharable Link
If you plan to distribute your Microsurvey via the shareable link, you can access your shareable link through the following steps:
- Click the Microsurveys tab in the Ask Tool to go to the Microsurvey table
- Click the Share icon
- Select a location
- Turn on the Microsurvey Metadata toggle
- Note that QR codes do not support Microsurvey Metadata.
- Microsurvey Metadata existing in the Microsurvey will be appended to the end of your URL in the following format:
- Your Metadata Property names appear before the ‘=’ (i.e. “region”, “sale-rep”)
- The ‘xxxx’ is a placeholder meant to be replaced
- For example, if you send the Microsurvey to John from the Northwest region, the URL could look like: https://my.microsurvey.com/name=John®ion=Northwest
You can replace the placeholder text with real data using one of two methods:
Manual Method:
Manually replace the placeholder 'xxxx' in the URL with specific values for each recipient. Using Excel or Google Sheets, you can construct personalized links in bulk by having the values for each metadata field in columns.
This approach is ideal when sending out individual survey links.
Automated Method:
If you use a CRM or email marketing tool, you can replace the 'xxxx' placeholder with dynamic variables (also known as merge tags). By doing so, you can send out the link directly from the corresponding tool, and these tags will automatically fetch data from your database to populate the fields.
Once Metadata fields are defined in-app, you can pass values to them using our API or via Ask Automation's direct integration.

Distributing a Microsurvey through Composer
If you plan to distribute your Microsurvey through the composer, you can add your Microsurvey Metadata values to a CSV file.
- Navigate to the editor on the desired Microsurvey.
- Scroll down to the Microsurvey Metadata section and download the provided CSV template.
- Fill in each row with a recipient’s Microsurvey Metadata values.
- Navigate to the Composer
- Upload the CSV file into the Composer’s Upload Recipient section
- Send the campaign as you normally would.
